Administrative Assistant

Right now, our team is growing and we are looking for an Administrative Assistant! So, our hiring committee has come up with a few must-haves: 1-2 years administrative experience, excellent attention to detail, verbal and written communication skills, and the ability to prioritize your projects while staying consistent with ongoing responsibilities. This position works closely with our Sales, Production, Creative and Account teams so expect some cross-departmental training as well. Throw in a positive attitude and we’re in business.

Lead and assist on projects as assigned by the Sales, Production, Creative, Accounting and Client Strategy/Account teams

  • Responsible for reporting and tracking weekly sales
  • Supporting the sales team with generating admin/client reports, market or competitor research, sending media kits to existing/prospective clients
  • Maintaining a monthly budget, track costs, creating purchase orders and reordering office expenses
  • Update spreadsheets, databases, and inventories
  • Undertake daily administrative tasks to ensure the functionality and coordination of the department’s activities
  • General administrative duties such as managing the office vendors, maintenance requests, restocking supplies, keeping the kitchen clean, front desk coverage, and answering phones
  • Managing the company’s mail, post office boxes and incoming and outgoing packages
  • Assist in the organizing of promotional events, quarterly company events and traditional or digital campaigns and attend them to facilitate their success.
  • Oversee event preparation including registration, facility setup, catering.
  • Make trade show and travel arrangements for the Sales Team and managers
